  • W-4 tax form - arrives as a PDF export from your payroll system or a scan of a paper form; named W4.pdf or download(3).pdf, with no employee or tax year.
  • Performance review - arrives as a Word doc or PDF from a manager; named Q2_review_draft.docx, it tells you the quarter but not whose review.
  • Disciplinary record - arrives as a signed memo from a line manager, often scanned for a wet signature; the filename is the scan date, hiding the employee and the action.
  • Certification or license - arrives as a photo or scan emailed by the employee, say a renewed forklift certificate or nursing license; the file is image_0815.jpg and the expiry date is not in the name.
  • Benefits enrollment form - arrives as a PDF from your broker or a scan of a paper election; named enrollment_2025.pdf, it could belong to any employee.
  • Background check report - arrives as a PDF from a screening vendor; the vendor's name is in the file, not the candidate's, so report_8842.pdf tells you nothing.
  • NDA or confidentiality agreement - arrives as a signed PDF, sometimes countersigned; named NDA_signed.pdf, you cannot tell which contractor it binds.
  • Exit paperwork - arrives as a signed exit form and a returned equipment log, often scanned together; named by scan date, the employee is invisible from the file browser.

Every one arrives with a name that fails the "whose, what, when" test.

Before and after: what a naming layer actually changes

Two examples, both real patterns from digitization work, show you the difference.

A batch of legacy paper files digitized from a filing cabinet. Jonas Ekstrom's team scanned a cabinet of personnel files for a warehouse closing a site, and the scanner produced Scan_20250115_001.pdf through Scan_20250115_120.pdf. After Renamer.ai read the batch:

The AI still reads the content to fill the fields, so a scanned I-9 with no obvious date gets the scan date, and a vendor report with the candidate's name buried in the body gets named for the candidate, not the vendor.

How digitization work changes once files name themselves
