Renaming PDFs One at a Time Doesn't Scale
An accounts-receivable assistant at a small dental network pulls paid-invoice PDFs from a vendor portal every morning. Most days it's six or seven files. On the first of the month, when several suppliers bill at once, it can be thirty in a single sitting. Renaming each one by hand, opening it, checking the sender and date, then typing a new filename, takes roughly a minute per file on a good day. Thirty files eats half an hour before the actual accounting work even starts. Keep that pace up daily, and you've burned a full workweek by the end of the quarter on nothing but filenames. Split that load across a five-person billing team and the total time drops, but it never disappears, because someone still has to open every file to know what it is before renaming it.
Rule-based renaming tools don't fix this either. They can stamp today's date on every file in a folder or strip a prefix, but a rule can't tell an invoice from Hartley Dental Group apart from one issued by a completely different vendor. It applies the same pattern to everything in the folder, blind to whatever is actually printed on the page.
